HI All,

I am creating a Workflow to manage AP authorisations. My question is the following: I am trying to modify fields access rights (show/read/modify) during a Workflow. Is that possible.

The operator needs to have access to modify the fields content in certain part of the workflow, but after the invoice has been authorised, nobody can modify this field. Only read.

I have been trying to find an option and the fields access rights are modified from the Administration Console but cannot be modified after during the process. Only through the Activity "Access rights" which modifies access to folders/documents.

The only way i found to perform it is creating a new Template and fields, assign the new values and have this template with new rights accesses. But I need to change the name of the fields and it is no longer very intuitive to the user.

Is there any other way of achieving this task?

If I'm reading this right, you're saying you have field A assigned to 2 documents that go through the AP Authorizations business process. When the first document is finished in workflow, you want the field value to be read-only to users, but you still want them to be able to edit that field on the second document (which is still in the middle of its workflow)?

Field security is not per document, so if you remove a user's Edit right on the field, it applies to all documents.

What you could use on this case is the Write Metadata entry access rights. But be aware that removing that right from the document will restrict editing any fields.

Hi Minura,

I have only one document that needs to go through a process (stages A, B and C). There is an operator that needs to edit a field F1 during the stages A and C, but disabled to edit during the stage B (read only). All in the same process and Workflow.

I don't know if i am clear but the same field has to be enabled and disabled for the same person in two stages of the same Workflow.

As per your answer, I think it is not possible. Is there any way to achieve what i want to do?

You are right, it is not possible with field rights. But, like I said above, you could do it by removing the user's Write Metadata entry access right once the document is in stage B and give it back when the document goes to stage C.

The issue is that the user has to be able to edit other fields, but field F1.

If I remove User's Write Metadata they will not be able to modify any field.
