New Templates

I have a question related to the setup of new templates. Yesterday, I was setting up templates for the IT Business unit and a selected a field that was used for Records business unit, specifically Project #, I changed the attributes of the field, it was a text filed with 6 characters I changed it to 5 characters. The system did not warn me that all existing data would be effected by the request but after the fact records could see that they lost the last digit of their project #. We restored form a backup to resolve the issue. This leads me to the question for template setup, if there is a way that templates or more collectively fields linked to existing templates cannot be changed or some security setup based on the business unit?

Warnings are called "prompts" in your client options, or admin console options. Check the box to receive the prompt if there is one.

 

Also, I believe you can set security on field and template management in 9 by group or user. (I'm on version 8, so I'm not completely sure how/where to do this) - I would try right clicking on the template or field and seeing you get "Access Rights ...". Users have a privilege that governs whether they can change field/template settings under the user profile in admin console.

What version of the Laserfiche Administration Console were you using? In the Desktop Administration Console, you should have gotten the error shown below

 

 

If you try to recreate the issue again using test templates and fields, does it reoccur, and are you never given that error message?

Isn't there also a setting somewhere to check if there is a warning or not when you change a field that's already been created? I thought I had read somewhere that you can do this somewhere in the Administration Console.

We did not get this message and the version we are using is 9.0.2.671.  I am thinking there is a security setting that is missed but I can not locate it.
