Is there a way to supersede a document/ folder if a new one comes into a folder?

 

I have a WF that currently creates a sub-folder if it does not exist and when a new documents either go into that sub-folder or creates a new sub-folder I would like it to supersede the previous one. Is this possible? Thanks

Using the superseded cutoff instruction type to do this for records is very easy. If you are importing a record into a Record Folder that is set up to use a superseded cutoff instruction type, simply setting the superseded entry link between that record and the one you want to supersede will automatically handle everything - the superseded record will be automatically cutoff and will enter retention based on your retention rules of the containing Record Folder. However, this specific superseded cutoff instruction type only applies to individual records. It doesn't have logic in place for child folders. You could set up Workflow to supersede the children of that folder (the entry link behavior will still apply in the subfolders) but not the folder itself. You'd have to rename/tag/dispose (basically, flag or process it) in some manual fashion based on the records inside, or checks within workflow.

Are you asking about superseding a folder in the records management sense? Or is there something different you'd like it to do?

Yes, I am asking about superseding a folder in the record management aspect. I would like the new folder to supersede the old folder and all the information contained within it.
