Question

Doc-u-star conversion

asked on April 18, 2013 Show version history

We met with a prospect today.  They have a Doc-u-star system to hold their scans.  It has a simple template on it and organizes the files by a client first/last name (ie 1 level of folders).  Are there tools we can leverage to convert their existing repository into a LF briefcase or something we can transfer into LF?  Ideally we can capture the metadata as well.

We don’t have any existing tools that could be used to transfer their DocuStar documents to Laserfiche.  You’ll probably need to build it yourself, or else perhaps check the Support Site Forums to see if anyone else has any experience.  I’m not familiar with the DocuStar system, but my suspicion is that converting to a briefcase will not be the optimal solution.

Assuming the DocuStar metadata is stored in a SQL/Oracle database, you may be able to use Quick Fields or Workflow to run database lookups on import, and retrieve metadata very easily.  If that won’t work, you may want to look into creating an exporter for DocuStar that spits out an XML file with document metadata along with the file itself.  You could then build a custom importer for Laserfiche using the SDK that will automatically associate the metadata with the appropriate documents.

The feasibility of the above solutions will really depend on what’s possible with DocuStar.  I’d recommend going through the available documentation to see what options are available to you.

This is not DocStar (http://www.docstar.com)  by any chance?  I ask because we have done plenty of conversions of that to Laserfiche.

I will be doing a DocStar conversion soon, any information you could pass on would be greatly appreciated!

The ease of the conversion will depend on the version.  V2 and earlier is quite straightforward.  For starters there were only two index fields. After V3 they started adding folders and templates, which were optional.  Depending on how the users set it up, the difficulty can range from relatively simple to fairly complex.
