Question

Is there a way for Workflow to prompt for a token value when user clicks "Run"?

asked on September 21

I am building a workflow that will run once a year, that is initiated by me. The Workflow will read a table in the database and do a series of things for each row in that table. Because this runs once a year, I have a "review_cycle_id" that is linked to the year.

Other than creating a Token to which I assign the value myself, is there a way for workflow to prompt for this token value instead of my hard-writing it?

Thank you.

PS - I am on Workflow (and Forms) 11.

Patricia,

Ah, Steve beat me to it!

A couple of ways to make this happen;

If you are running the workflow from the Workflow Designer you can add an input parameter named "review_cycle_id" to the workflow.  When you run the workflow from the Designer it will allow you to set the value of that input parameter that can be used later in the workflow.

The other option is to create a small form with a single input field to capture the value of the "review_cycle_id" and then have the form process call the workflow.  You could then use the Retrieve Business  Process Variables workflow activity and use that token in the workflow.

Try creating an Input Parameter (Token) in your workflow as you would if you were passing a value from another workflow to it. When you manually Run the WF, in the dialog that appears, it should provide you an input field for that Token. Enter the value there and continue.

You'd just have to update your workflow to use that Token in your activities

Hi! These are both great answers, thank you!!

I don't know why I didn't think of the "empty" token solution. That's what Workflow does when you test a custom query, so I should have known that it would do the same if I hit Run.

Again, thank you!

Does review_cycle_id have some pattern that Workflow can follow? For ex, something like RC_2026 for this year's review cycle? If it does, you could use regular expressions or a Token Calculator activity to create it when this instance start.

Or, like Cliff said, make yourself a Forms process that starts once a year and assigns you a "gimme the review_cycle_id" form, then triggers this workflow with that information.
