Capturing assigned team member's email

asked on September 14

I am wanting to capture and use later in my process the email address of the team member who assigns the team task to themselves.  I've attempted to use an email address field with a look up from a SQL table of users from our Active Directory.

This does not seem to work in Forms. So, I'm having to create a workflow to read the variables from the form and query the table, and then write the result to the field.

Is this expected behavior for Laserfiche Forms?  I'm using version 12.0.2503.10378.

You can do that in Forms with lookup rules.

1. Prepare two forms, one used in starting event, one use in user task.

2. add a single line field to the user task form, and set its default value to the task's Assigned to token. Then configure the lookup rule to populate email address with this single line.

3. When the task is assigned to team and picked up by team member, Assigned to token is bound to this user, then when he open the form, lookup will trigger and populate email for you.

One point to make sure, the single line field should not have carried over values from previous step, or the default value won't take effect. But at least this is possible in Forms though. You can optimize it with your design.

Thanks - I was attempting to do this with one form.  The two form solution would not be maintainable for my use case as I am using multiple teams in the business process.  I have a multitude of fields and field rules on the form and I would not want to have to keep them maintained between multiple forms.

I'm just going to use a workflow to query the SQL data table I have.
