Question

Smart Fields and the Select dropdown

asked on July 16

When Smart Fields are being filled out by AI and one of the fields is a select dropdown, will AI select the closest or matching option in the dropdown? Or will it override it entirely with the value it came up with?

If it does override, is there a way (via workflow, or otherwise) to ensure only dropdown options are used?

Good news — the answer depends on the kind of dropdown, and improvements are on the way for the case you're describing.

Regular list fields (options typed into the template): Smart Fields can only pick from the field's options or leave the field blank. It will never fill in its own value, so nothing special is needed in the prompt for these.

Dynamic fields (options that come from a lookup table or rule): this is where what you describe can happen today. The value the AI reads from the document sometimes doesn't line up exactly with the option in the list — different capitalization, a date written differently — or the document may contain a value that isn't in the list at all. Two improvements are coming to Laserfiche Cloud:

  1. If the document's value matches one of the options but is written a little differently, Smart Fields will pick that option and fill in its exact value.
  2. If the field is set to only allow values from its list and the document's value isn't one of them, Smart Fields will leave the field blank instead of filling in something that isn't in the list. (Fields that allow values outside the list will still keep what the document actually says.)

So regular dropdowns are already covered today, and dynamic dropdowns get much more reliable with the coming update — note these dynamic-field improvements are Cloud-only changes. In the meantime, Steve's suggestion of spelling out the choices and rules in the prompt is still a good approach for judgment-style fields — like a document type field, where the AI has to classify the document rather than copy a value off the page.

In this case it comes down to defining the prompt with the selectable options it is able to return.

Here's an example of a prompt for defined options from Chat Gpt

Prompt

You are an expert document classification assistant.

Review the contents of the provided document and determine which of the following document types best matches it:

  • Contract

  • Services Agreement

  • Claim Form

Classification Rules

  • Base your decision on the overall purpose and content of the document, not just its title.

  • If the title conflicts with the document's contents, use the contents to determine the document type.

  • Choose only one document type.

  • Do not infer information that is not present in the document.

  • If there is insufficient information to confidently determine the document type, return Unknown.

Output

Return only one of the following values:

  • Contract

  • Services Agreement

  • Claim Form

  • Unknown

Ah so you're saying to set up an AI Prompt Rule to set fields?  This may be helpful, thanks.

You can do that directly in the Smart Fields Prompt

Thanks, I've tried to get Smart Fields' prompt to limit itself like this before and it's not 100% reliable yet.  It's does a lot of the initial heavy lifting though!

I should've added I was using dynamic fields, thank you this describes the use case I'm seeing.  That's great news, thank you!

When you configure a Smart Field with static select dropdown, the options are passed along automatically to limit the extraction to the provided selections and out-of-list values are not possible.
