Better design for user access request form to request Laserfiche access

We have Laserfiche Forms Professional Version 11.0.2311.50564 on-premise.

We have a "User Security Form" that allows any Laserfiche Forms user to request access to multiple (many) systems for a specified user. There is a Laserfiche section on the form and users often get confused between Laserfiche Forms access and Laserfiche repository access. For instance, they will list forms in the input box asking which folders the user needs access to.

I did set up conditions where if they select Laserfiche Forms, the "Additional Laserfiche Forms request" input box appears. If they select Laserfiche document repository, the "Which folder(s) in the Laserfiche document repository does this user need access to?" input box appears. However, if they select both, both boxes appear and they seem to get confused. 

I'd like to be able to have them just select which folders from the list of existing folders, and I found a post about creating a view in SQL Server Management Studio, but I can't sort the view by folder name and I can't pass a variable to it to narrow down which folder to display folders for depending on the department. 

Just looking for suggestions on how to make this Laserfiche section more user friendly.

Hi Mandi,

I don't know the specifics of your system, but have you looked at doing access requests based on roles instead? That would allow the requester to select what role they need to perform in the system and that would dictate what they get access to.

We are a county government, and we've been using Laserfiche repository since 2006. I've been managing it since 2007. We have over 200 Laserfiche groups spread across 15 departments (each having multiple divisions within them) and agencies.

There is a drop-down menu for the submitter to select the department (or agency). Within each department/agency, there might be multiple groups (more than just read-only and read/write). Basically, I need to know which folder(s) they need access to and whether they can only view or they can add/modify/delete folders and files.

Some departments have accidentally deleted or moved their department's root folder. So, for those, to avoid me having to fetch the folder, their department's root folder is read-only.
