I’m working on a tender process where a package of tender documents is received. These can include electronic specifications, building specifications, aerial photos, Excel spreadsheets, Word documents, and other supporting files.
 

A BP table contains the list of invited RFQ contractors — typically three or more rows with contractor names and email addresses. The BP calls a workflow.

For each invited contractor, the workflow needs to:

  • create a dedicated folder
  • merge and save an invitation letter
  • attach the relevant tender documents
  • send an email requesting a quotation
     

Straightforward in principle, except Laserfiche Workflow requires attachments to be individually downloaded and explicitly attached to the email action, which makes handling a variable number of documents awkward.

I’ve come up with a working solution, but wanted to ask whether there is a better way to loop through the contents of a folder, add the electronic documents to a ZIP file, and email the collection.

Laserfiche email has a “combine files into a ZIP” option, but the challenge is getting a variable number of documents from a folder into the email attachments.

The solution I have works, but it relies on conditions for 0, 1, 2, 3, 4, or 5 documents, which also imposes a hard limit on the number of attachments that can be handled.
