Question

Laserfiche Office Integration Won't Check-in Documents

asked on April 22

Laserfiche Office Integration version 12.0.2603.246

I just installed the new Laserfiche Office Integration released with the 2026 H1 release of Laserfiche 12.

I'm having a problem that I have closed the document and all other Excel windows, but it's still refusing to check in the document.

I'm getting an error message saying "To perform the check-in operation, please make sure the file 'Daily Summary.xlsx' has been closed."

But it is closed, and nothing I seem to do makes a difference.

I finally had to "Undo Check Out" and then manually re-upload the modified file to replace the copy in the repository.

Hi Matthew,

The issue has been resolved in bug 653783 and the package 12.0.2607.315 has been released.

Thanks,

Qinmei

I have this exact issue also. Working with LF support on this.

Hi Matthew,

Thanks for reporting the issue. Bug #653783 has been filed. We are looking into it.

To help troubleshoot the issue, please follow the steps below:

1. Identify and close the application locking the file.

Use the Handle tool to identify which application is locking the file, and close it as needed

    1.1 Download Handle from Microsoft

1.2 Run the following command in Command Prompt (running as Administrator is recommended). Replace [FileFullName] with the actual document name.

    To get the file name:

  • Open the file in the Tray App
  • In Microsoft Office, click File → Info to find the file name

  • Close the file afterward

   "[HandleInstalledPath]\handle64.exe" -u -g "[FileFullName]"

1.3 Review the output and identify any applications using the file.
For example, if Excel.exe is listed, close all opened Excel windows, then open Task Manager and end the Excel.exe process.

1.4 Return to the Tray App and try to manually check in the document again.

2. Restart the Office Integration Tray App

2.1 In the taskbar system tray, right-click the Office Integration tray icon and select
Quit Laserfiche Office Integration.

    2.2 Relaunch the application from:

   C:\Program Files\Laserfiche\Client\LFOffice64\Laserfiche.OfficePlugin.WebAccess.Monitor.exe

Regarding #1:

When I tried Handle while I had it open in Excel to get the file path, it did tell me that Excel was using it.

But then when I tried again after closing access, it said "No matching handles found." and then immediately after I tried to check in the document and got the same error about not being able to check it in.

Regarding #2:

Now the tool doesn't list any documents checked out - but the repository still shows the document is checked out.  The copy in the repository says it was last modified yesterday despite my editing and saving while I had it open for #1 above.

Regarding #2 - Additional:

After that, I did the "Undo Check-Out" to restore the document in the Repository, and then tried the "Download and Check Out" function again - and it was not working again.  I tried five or six times and it didn't do anything.

When I tried Quitting the Office Integration again from the tray icon, then tried the "Download and Check Out" function - that worked.  And now it's giving me a warning about the copy I downloaded earlier.

I tried Replace Local File and it tells me it is in use by another process.

I clicked OK there, and it didn't do anything else.

I tried the "Download and Check Out" function again, and this  time it just opened the document without the warning.

The version that popped up for editing was the version I had edited before - not the original from the repository before this all started.

I also noticed the modified timestamp was updated - later on I downloaded the document (just downloaded, not checked-out) and confirmed that it appeared to be the version I had edited - so at some point in all this chaos, it did push the document back to the repository, but I don't know when exactly that happened.

One of the times, when I had the document opened and closed it without any edits, it did this:

And then it was fine without any issues.

Regarding #2 Additional Additional:

I've noticed that when I first download and checked out the file, it has this checkmark next to it.  If I open and close it without any changes, that's when it successfully says it has undone the check out.

But when I make changes and save them, the symbol changes to this circling arrows icon, and this is where it never lets me check it back in.  I've been watching for quite a while now and it never changes back to the green checkmark (or even the cloud icon that shows on that second file), it just stays stuck on the circle arrows for as long as I see.

Regarding #2 Side-note:

While working through different attempts to pin down the chain of events, at once point I lost my network connection and didn't realize.  When I tried to close Excel without any edits to the document, it did this:

This popup appeared again and again.  Over and over and over again - multiple pop-ups every second - dozens before I knew what was happening - so many that I couldn't quit the program from the taskbar - I had to end it from the Task Manager.

Okay, it occurs to me that I haven't upgraded the Web Client yet - is that a pre-requisite for the Laserfiche Office Integration to work?

I feel sheepish 🐏 for not thinking about that.

Hi Matthew,

  • What operating system is the machine running, and what is the build number?
  • Which version of Microsoft Office are you using—for example, 16.0.19xxx.xxx?       Excel -> File -> Account -> About Excel
  • Is the Office installation 32‑bit or 64‑bit?

Thanks

My machine is running Windows 11 Business Version 10.0.26200 Build 26200.

We use Office 365, some of our staff use the web versions, but anyone who uses the programs a lot (like me) tend to prefer to the Desktop ones.

I checked Excel and it says Version 2604 (Build 19929,20090), but on the expanded About screen says is Build 16.0.19929.20086), that's weird that they show two slightly different values.

Excel is 64-bit and as far as I know all the rest of Office365 is too, but I only checked Excel specifically.

Is any antivirus software installed on your machine? If so, please whitelist %LOCALAPPDATA%\Laserfiche\OP\Files in the antivirus software as a workaround and check whether this resolves the issue.

Yeah, unfortunately that doesn't seem to have resolved the issue.

If it helps, the resolution in our case was to whitelist/add to the global exclusions the path %localappdata%/Laserfiche/OP/Files in Sophos Antivirus.

Quick update, we're still struggling with this issue.

Yeah, same.  We have Sophos, and our team did the whitelisting, but its still showing the same behavior.

I think LF have figured out the problem. They provided a version for me to test with on Friday and it worked. Watch this space I guess!
