Attach Repository Document to E-mail Task in Forms

asked on March 25

Our Human Resources wants to attach three PDF handouts to an outgoing e-mail sent as part of a Forms process. I was thinking I could save the handouts in the Repository, but I'm not seeing any way to grab those in the Forms e-mail task. How would you approach this? Use Workflow to get them from the Repository and send the e-mail from there?

This is the very last thing I need to build for a process they want to go live today. I appreciate any thoughts you have!

Yep, having Forms call Workflow, and having the Workflow pull the documents from the repository and attaching to an email is what I would do.

Either that, or put the documents on the Forms server and have the email from Forms include a link to them instead of actually attaching them.

I figured that would be the answer, so I've headed in that direction. It would be nice if Forms could grab the documents directly from the Repository - maybe some day!

Another idea if you are okay with the email having links instead attachments would be to include Web Client links directly to the repository entries.

We want to make all email operations (forms/wf) equivalent, but this would only pertain to cloud as we can more easily share the service between the two applications.
