email services task

I am currently designing a process diagram in Laserfiche Forms and attempting to use the Email Service task to send notifications to users. However, the emails are not being delivered when the process runs.

I have verified that the users’ email addresses are correctly configured, but the issue persists. I also tested the email settings directly from the Laserfiche Forms configuration, and the test email was sent successfully, which suggests the email service itself is working.

Could you please advise on what might be causing the emails not to send within the process, and how this can be resolved?

  1. Are you sending emails to hardcoded email addresses?
  2. When you run the process, what does the instances monitor page say is happening? Any errors there?
  3. Sounds like you are on self-hosted, could you check the Forms server event viewer logs for any errors?

After reviewing the error logs over the past two days, I re-evaluated how the step was positioned within the flow. I moved it to the beginning of the process, which resolved the issue partially. I also noticed that the user task included its own email notification function, so I disabled that and allowed the email service task to handle all notifications instead.

Be sure to check Junk Mail, too. Not sure if it's still this way, but email notifications form Forms used to be pretty bad about getting filtered to spam.

  1. Also, you could check the list of accepted domains on your SMTP server. Ensure that the domain you are trying to send emails to, is listed as an accepted domain. If the domain is not listed, add it to the accepted domains list. 
  2. Review the relay restrictions on your SMTP server ensuring that the server is configured to allow relaying for the given domain.
  3. If you need further assistance, you can contact support after setting Logging level to Debug in FormsConfig, reproduce the issue and export the full event viewer logs for Forms (both Admin and Operational).
