Question

Laserfiche Workflow - Report for Employee's

asked on January 27

Greetings, Everyone!

I had a question about Laserfiche workflow. Is it possible to create a workflow that see's when an employee scans or moves a document into a specific folder, Incoming documents, and then if they applied metadata as part of this process? The goal is to generate a report that shows what the employee has done over the past 30 days. For example:

"Michael filed 20 documents over the last 30 days, and has applied Metadata to XX documents."

Any information is appreciated.

Thank you,

Michael

(We are running the most recent version of Laserfiche for self hosted)

The challenge with this one is that kind of historical data "Michael filed 20 documents over the last 30 days, and has applied Metadata to XX documents." doesn't persist easily. It is likely stored in the LF SQL database but not all of it and getting it might not be worth the effort.

For me, especially self-hosted, I like to leverage SQL whenever I need something like this.

In the workflow that you create to route the docs, add an 'Insert Data' workflow activity to log the info you need. Something lie this...

This data does not exist in the repository. You can have the creator and the person who last modified a document, but not what they modified or whether there were other users who modified it.

You want to look at Audit Trail, which would have historical data. Though you wouldn't be able to schedule reports through Workflow.
