cloud home screen Forms, restrict access to groups

I have created a number of forms now for different areas of our organization including public facing ones for the portal. I want to limit access to the forms listed  according to group membership. I have been unable to find any ideas other than using teams, which I have not been able to make work, and it seems overly complex for this use anyway. I am prepared to create a user test based on username and a lookup table for each area if necessary on each of our start forms to prevent the processes or workflow from running but this really seems unnecessary.

Help appreciated.

You can allow users, groups, or teams to start individual processes.



I highly recommend looking into teams for task assignment if you aren't using them for that already. It allows you to offload management of tasks to team members as well as future-proofing your tasks assignments in cases of out of office or leave of absence.

Perfect exactly what I was looking for, funny I could not find it when searching aspire, answers or AI in LFCloud. My last search this morning was on aspire looking for something on Teams for Cloud. That would be a great learning module. Clearly there is a lot to learn about teams. An enhancement would be to allow team management to allow selecting resources, ie business processes, forms, workflow and in accounts or repository , even just added to the manage teams app would be good. ( I would prefer a tab in accounts). Of course if have missed it somewhere please point me in the right direction.

I agree, I'm working on making that part of our documentation better while we make updates to the functionality of teams!

I am thinking about a team view where I can select a number of BP from a list (check box) to add them to a specific team.

Again thanks for the solution to my question. I know find I have 4 forms no longer associated with a BP. When I click on them from the home page the load a form and I can see the url in the address bar.

How can I delete these old versions of forms not associated with a current business process.

From that same screen I showed before you can disable the process so they don't show up as submittable forms anymore.


You can also delete the entire process if you're sure you'll never need it again from the manage page.

The particular forms I am seeing on teh home screen no longer appear to be part of a Biz process an ddo not show up on the BP manage screen.
