Forms Data Maintenance - How do you remove form submission data and action pane history?

Here is our current retention plan

It seems we are removing everything we can. But if we go back to instances completed years ago you can still find all the submission data, and action history.

When we open a task from an old process we get the notification here:

But I can still see an image of the form with all the data and all the action pane history.

Holding all this data forever is causing an unhealthy amount of storage needs

Which version of Forms are you using? Can you check the event viewer log to see if there are any errors during the clearing time?

I found a timeout error that occurs at the start of the maintenance period and increased the timeout. If this is the cause, it would be best to move this error to the Data Maintenance screen.

In Forms 12, we record the removed files during maintenance and the detailed exception when the timeout error happened. The logs can be found in FormsLog_RoutingEngineServiceHost.log file under "C:\ProgramData\Laserfiche\Forms\Logs". I believe it can help identify the cause why the data was not removed.

We are using Forms 12 but it is not generating this log in there, only the Trace_Default.log

Have you changed the Diagnostics log level to debug on the Forms configuration site?
