Task Reminder Emails Forever?

asked two days ago Show version history

Hey all,

Is there some age of assigned tasks where the reminder emails stop being sent?

It would depend on what is setup in the Repeat Option of the reminder.

Hi Angela,

Thanks for your reply.  We don't use the task-specific reminders, only the global one set in Forms Configuration

I don't think there is a built-in way to turn those off since the intent is to find any task assigned to a user.  You have to disable the notification setup to stop the reminders.

So, my situation is that we have old tasks, some that are years old, that have never been worked.  We can see them on the Tasks tab on the Monitor page in Forms.  Shouldn't our global task reminder setup be spamming those people with emails OR does it stop sending those task reminder emails after a certain amount of time?  That's really my question.

I would assume any user with open tasks assigned would get an email with the list of open tasks.  If they are really old, the user may no longer be in the system or have had an updated email address (name change).  Have you verified with a user assigned to an open task that they did not get the email?  Sometimes I find that people write rules in outlook to move emails to a folder and then forget it about it.  If they write that rule based on the default LF email address you are using, they may have never gotten it.

The max reminders that can be sent per task is 100.  At least on version 11.

Seems like in version 10 it was much higher.

Is that the same rule for the template?  Since it is sending a list of different tasks, it would need to log the number of times for each task to remove it from the sent list.  I can't find a table in forms where that might be happening.

If that limit can be set, where?

If you could find where that was stored it would be an interesting hack to reset the counter.  I do have some users that need more reminding.

The way I understand it is that it will send a certain number of "occurrences" of the reminder.  There may be a setting for that max number in some configuration that I'm not aware of.  But, at least for me, that max number is set to 100.

So, there is no global default setting, it's a limitation set at the task level?  Or there is a global setting and it can  be overridden at the task level?

The only place I've ever found to set it is at the task level, when you are setting up the reminder.

It sure would be nice to be able to increase that number somehow...

What Jamie is showing is the setup in the individual task.  The max limit here is 100.  Logically, it would make sense that the default notification template in Config would max out at 100 as well.  However, since it is multiple tasks assigned to the same user, the system would need to know what number each task was on.  My email could have 5 tasks all assigned on different dates there for each email notification current total would be different.
Table: [LF_Forms].[dbo].[cf_bp_task_reminders] holds all the bp task reminders.  I dont see anywhere that is counting the number of reminders sent out per task from the default template.
