Self-Hosted Extract Value through Smart Fields Template in Workflow?

Is there an activity in Workflow that will apply a smart fields template and extract values?

Self-Hosted does not yet support Smart Fields - but it is apparently coming in the Fall 2025 release tentatively scheduled for October 21, 2025.

Self-Hosted Workflow already has an activity for applying a template to an entry.  If Self-Hosted Smart Fields work anything like Cloud Smart Fields, the applying of the template should trigger the extraction of the smart field values from the entry to which it is applied.

The Cloud activity does not seem to be present with most Cloud plans, only the top tier plan at 50k documents has the automated activity.

In the pricing for the Self Hosted, it does not mention where automation is included so I am trying to find out what is possible before requesting any quotes be sent to customers.

The Sales-Tools repository has an SP hand-on training PowerPoint here.  The pricing could be more clear but slide 39 and 40 indicate the following:

  • Smart Fields are an AI feature and will only be available with subscription licensing. 
  • Only Professional and Business Tier will receive Smart Fields
    • Professional Tier: 1,000 documents / year / account
    • Business Tier and Site packages: 10,000 documents / year / account
  • Additional pre-paid usage blocks are available
  •  Workflow Custom AI activities included with subscription for both Professional and Business Tiers

Can confirm the items Shawn mentioned. That's a good overview of the upcoming packaging for the Laserfiche 12 AI capabilities in the Fall release!

To Chad's question - the reason manual vs automated is not called out for self-hosted smart fields is because we are doing away with that distinction. People did not understand it and it was deemed more trouble then it's worth. You'll see that included in the upcoming Laserfiche Cloud 2025.10 release announcements next week, and that's why it's not mentioned at all in the self-hosted package for 21 October. 

Now I'll note that the workflow AI activity is only going to be available on self-hosted systems for the immediate-term, but we're working on porting and adapting it to Laserfiche Cloud and aim to have a Cloud version of that soon. That's very distinct from that manual vs automated distinction for the Smart Fields feature though, as noted.

Will there be a way to allocate and manage the number of documents allowed for each repository in the cases where we manage multiple repositories licensed on the same server using a common LFDS.

To sum this up do you mean that workflow can extract values in Self Hosted for all cases and soon Cloud will be able to extract values from workflow on the Professional Plan as well?

We have had customers put off by the cost of the Business Plan, so if the Professional Plan would suddenly include the extract values activity it would bring the entry price down significantly for implementing smart fields into business processes.

Hi Chad, 

I think there's still a key aspect of what you are noting that isn't quite right. To clarify - the Laserfiche repository feature known as Smart Fields is completely independent of the new AI integration activity we are adding to Workflow. When I speak to auto vs manual extraction, I am speaking to the Smart Fields feature itself. Currently, accounts on professional can only use Smart Fields when they manually click the extract button in the repository web client, and other accounts will have smart fields automatically extracted by the Laserfiche Server regardless of where it comes from, as soon as the template is assigned. This behavior will be changing in a week, at which point all accounts with access to Smart Fields, regardless of tier, will be able to have fields extracted automatically by the Laserfiche Server. 

The AI workflow activity, conversely, is a completely new workflow capability to better add integrations with AI tools in your automated processes, adding some additional items geared towards working with LLMs.

Ah I see. In Self Hosted we can also choose to have values extracted as soon as the template is applied by Workflow?

It will work just like in Laserfiche Cloud where, when the template is applied and regardless of what client application is used to apply it, the Laserfiche Server will send the document out for extraction.

I don't know why ours does not work. The template gets assigned but the values stay empty until I click Extract Values.

That's weird. Could you attempt to trigger one and then give me the time range and entry ID? Or open a support case with that info. We'll look into it.

I'm seeing a smart fields request for that entry ID in the r-c30****** repository which is associated with your account on the Pro plan which won't do auto-extraction until later this week. 

Please try it in your Solution Provider account (account ID starting with "24").
