Laserfiche Forms: Dynamic user task assignment using multi-value variable

asked on September 5

Hi Community,

How can I create a business process in Laserfiche Forms where the flow depends on a variable?

For example, I have a variable that stores multiple users (e.g., two users selected). I want the process to assign a task to each of those users automatically, instead of manually duplicating user tasks. Is there a way to dynamically assign tasks based on a multi-value variable?

Best,

MATT ARENAS

Hi Rafael / Matt,

IMO, yes, the steps will vary depending on the platform (on-premises vs. cloud), but they are very doable.

Here is an oversimplified flow of the process.

The only way I can think of to do this would be to use either a formula or a workflow to separate the multi-value variable into single user variables, then use a parallel gateway to conditionally assign tasks if those single user variables are not blank, with the task assigned to the value of the respective single user variable. This would still require a separate task for each potential maximum number of values in the multi-value users variable. It's dirty, but it would work.

If you are OK with assigning one task to multiple users (i.e. multiple people can grab it from 'Unassigned Tasks' and accomplish it), this should be possible Teams and Filters at the User Task.

Hi Community,

Thank you for your reply.

Can I ask for more details of all your suggestions?

Are you able to provide more details on what your requirements are, or outline your use case?

I'm happy to write-up what we do, if it's useful for folks.

Requirements for this case are:

1. Multi-user selected or individual selection. (It depends on the user how many to be selected as approvers or reviewers of the process.)

2. Each selected user has an individual task form.

3. After the approver or a reviewer does the task, it will be consolidated to the task of the initiator.
