Question

Can I encrypt or password protect an attached form using an email task in LF Forms?

asked on July 11

We currently have a Permit request Laserfiche form that is public facing, where the client submits information that contains PII as part of a permit request process. We are adding business associates (outside our agency) to this process for after hours support. What we would like to do is further automate the process so when a client submits the form, a copy is sent to the BA when after hours.

Is there a way using an email task, to attach a Laserfiche form and have it emailed as a password protected document/attachment? I know we could give them a license, but wanted to first see if this was an option. We are using LF forms version 12.

Thanks!

I'm afraid there is no such option in Forms 12 email service task.

Not in Forms, but in Workflow, the Email activity can encrypt and add password protection to PDF attachments.  So you could archive your form to the repository and then have workflow (either Forms start the workflow, or creation of the entry in the repository triggering it) grab that entry, and attach it to an email with Encrypted PDF settings and a password.

Our IT department has an email rule, when a specific term is included in the subject line, the email is encrypted. Maybe you could work with your email admin to do the same, and then in the Laserfiche emails, have that term automatically included in the subject line?
