Need a solution for a repetive task

Dear all,

I want to include in my workflow the person that has reviewed a document. I do not want many reviewers to be applying review stamp on the documents as this will cluster or crowd the document. How do I go about this? Should I create field for the reviewer? any possible solution to this.

Hi O!

Have you considered transitioning your approval process to Laserfiche forms, thereby eliminating the need for stamps? Enable the approval history on the forms process.

If you need a way to keep track of approvals on the document in the repository without using a stamp, you could create a multi-value field on the template called "Approval History" and have a workflow append to the field, capturing who approved it, along with the date and time.

Thank you Troy, I am not too familiar with form for approval process, since there is a file routing and probably somebody will eventually use stamp on the document. Since I don't really know how to configure this, I think I would like to go with second option of multi value field with using workflow. could you shed more light on how to go about this? if possible with images. Thank you

I gotch ya.

 

Start with the template in the admin console:

Add a multi-text field to your template

Next in the workflow, configure all the normal things - Connection strings, starting events, etc.

  1. Add an Assign Field Value workflow activity
  2. Add your Submission History field
    1. Build your field value - In my example, I included the date/time and other data collected during my process (Activity Code), as well as the person who approved it.
  3. Lastly, make sure you set the option under the " if field is multi-value to Append to existing values, that way workflow adds to the list versus replacing. 

Once all that is working in the document viewer, on the right under fields, it should look something like this:
