Can someone please explain how I can use a workflow to extract the data from a document and put it into my smart field through automation?

I have my fields and template configured. Works great if I select the document and hit the extract button, but I really want to save some time and have these fields be filled on creation or through a workflow but am not finding a solution. In the smart field demo video they even say "populate metadata with a single click, or fully automate with a workflow."

If the Laserfiche Cloud plan includes automation for smart fields, the Laserfiche Server will trigger smart field recognition when the template is assigned, regardless of which application does the assignment.

Automatic extraction is only included with plans in the Business tier, which your organization is not on.

If upgrading to the Business tier is not an option, you might want to look at Capture Profiles and see if they could help accomplish your goal. The main difference is that Capture Profiles are configured per document type (i.e., the data to extract needs to be in the same relative location on each document) whereas Smart Fields extraction uses AI to figure out where on a document to get the information.
