Question

Multiple Signatures need but want form to be read only

asked on June 4

Hi so i am new to LF forms. We want to create a form that requires multiple layers of approval, but we also need a signature at each level. (moving from paper, and people want to see the signature) I can do this if i dont make the entire form read-only. My question is, is there a way to make the form read-only but still require a signature? We are on version 12.0.2503.10378 and hosted locally

No, making a form read only will disable every field, including signatures.

However, you can still make every other field/section except the signature read only. The easiest way is probably to put all the other fields in a separate section so you can mark that entire section as read only instead of having to set it on each individual field.

So how do you show someone approved it in the form?

More context would be needed to answer that question. It really depends on how you are handling "approval" in your process.

For example, Approve/Deny buttons would be very different from using Approve/Deny radio buttons on the form.

However, making fields read only does not prevent you from using either of these options so your process configuration is the determining factor.

You can even set field rules to make things read only based on the specific stage or step in the process, so there's multiple ways it could be done.

In addition, the Signature fields have a Display Only option which will prevent a signature from being changed in subsequent tasks once it is applied.

So what i did as a workaround is make a copy of the form for each approver, and in the copy, it's all read-only besides the signature field.  How do you make the signature fields reset if the form is rejected back to them though?

Multiple forms are not necessary and could really complicate maintenance. You can set read-only rules based on the Step Id to reuse the same form, and you can get the step id for each task from the process diagram.

As far as resetting the fields, a couple of options would be to use an approve/deny radio button and add a rule that hides the signature fields when Deny is selected; if that rule is also set to Ignore hidden fields, it will wipe the data.

Another option is to use Workflow and the Set Business Process Variables to wipe all the signature fields; it really depends on the design of your process.

It would probably be beneficial to check out Laserfiche Aspire; they have a wide selection of free videos that could help provide some context about how things work and what options are available.

Yes, it would be enable/disable depending on whether your process works best with inclusive or exclusive rules.
