How to Preserve Rich Text Formatting from a Laserfiche Form Field When Inserting into a Word Document via Workflow?

asked on June 3

Hello everyone,

I have a scenario where a Word document is generated by a Workflow using data collected from a Laserfiche Form. One of the fields in the form is a Rich Text field, where users can apply formatting such as bold, italics, bullet points, etc.

However, when the content from this Rich Text field is inserted into the Word document, all formatting is lost and the content is rendered as plain text—the HTML tags are not interpreted or converted into Word formatting.

The client’s requirement is to have the formatted content from the Rich Text field appear in the Word document exactly as entered in the form, preserving all styles and formatting.

Has anyone encountered this issue before? Are there any best practices or workarounds for maintaining the rich text formatting when inserting into a Word document via Workflow?

Any suggestions or advice would be greatly appreciated. Thank you!

I haven't tested it - but the help text has some information about "...insert rich-text tokens derived from Laserfiche Forms' rich-text fields, preserving formatting and styling from the rich-text fields."

Here: https://doc.laserfiche.com/laserfiche.documentation/11/administration/en-us/Default.htm?_gl=1*yx3ge7*_gcl_au*MTI5MjAyNjY2Mi4xNzQyMzk3NDQ3LjIxMTkwMTk4NjAuMTc0NjcyNjA0OC4xNzQ2NzI2MTM0#../Subsystems/LFWorkflow/Content/Resources/Activities/Update%20Word%20Document.htm

Is that helpful?

Edit to add: You probably also need to ensure your fields within Workflow have been set with the option to render as Rich Text.

Edit to add again: This white paper has some great info: https://support.laserfiche.com/resources/3465/updating-a-microsoft-word-document-with-laserfiche-workflow

Here's what that white paper says about those options in the drop down (so it really sounds like it might just be the difference between Default and Rich Text in this options drop-down that is impacting the behavior):

Hi again, this was very instructive. Of the two options you showed, I followed the second part, "Updating a Microsoft Word Document with Laserfiche Workflow." That document is very comprehensive; it's a must-read. Not to memorize it, but to know what's inside, because in these types of cases, it's been a holy grail.

Thank you so much! yes
