Question

Copy of Request

asked on March 17

Hi,

I have a workflow set up. There is an approval request that goes out to both internal and external users. I can get a copy of the internal request but I don't know how to get copied on the external request that goes out to the approvers. I updated the Service task to provide a copy, but only internal LF users came back. Thank you in advance.

Much appreciated, Luis - the emails are going out to external users. I want to be copied on those emails and that's where my issue lays. Thank you!

Have you tried putting your email address only in the CC instead of using your LF username?

No, but I will definitely give that a try. Thank you very much!

Hi Lynn,

Do a little troubleshooting, if you haven't already.
- Is the process configured in that Process Diagram somehow interrupted or showing up as a Suspended Instance in Process Monitor? If so, please share the error you're getting, or you can see in the logs what's really causing your copy of the email to not be sent to external email addresses.
- Check if your LF server can send emails to external addresses through your Mail server. Sometimes certain Email Relay rules must be configured when you're behind a firewall to allow delivery of those emails.
- Try using the CC or BCC option. If you want to send a copy to external addresses, I suggest using those options instead of placing them in the Send To field. (Click on Show From/CC/BCC in the Email Service Task configuration. Manually add your email address in CC or BCC to receive a copy.
- Check SMTP Configuration. If external emails are not being sent, verify that the SMTP server used in Laserfiche Workflow supports external email delivery. Test sending an email to an external user manually to confirm if the issue is with the SMTP server.
- Double-check that the external approvers have valid email addresses in your system.
- As a last step. Create a test process and try test with an External Email. Instead of relying on Laserfiche user selection, manually type an external email address and see if it gets delivered.

I may have missed some ideas to review, but these are a starting point to try to find the source of your problem. If, despite reviewing all of this, you still have problems, let us know

Best,

Luis
