Question

Display Current Repository User in a Template Field

asked on March 8

Hello Everyone,

I have a small problem I hope someone can help throw some light.

I have a current User field in my Template which is set to display the USer currently logged into the repository using %(UserName) token to display the current user.  That Template is applied to an open document. I find that the field only displays the name of the User who first scans the document into the repository. It doesnt change  to display name of another User logged in to the repository. See image.

User1 is the person who logged into the repository and who scanned the particular document in. That field is supposed to change to display the name of the new user no logged in and opened the document.

Can anyone please help

The Template field for that particular username is saved when the document entered the system, so it is correct then. When another user opens that document, it does not get updated because the user does not assign any metadata to that field so its not 'Active' per say, and is showing the saved Metadata, which is intended behaviour of metadata, as you would not want end users to re enter metadata every time they open a document.

Surely a proper Access control policy should really dictate who has access to said documents/last action?

Oh Thanks so much @Anthony. That  provides closure as I have been wondering why that field behaves like that.

I have decided to change the field name to server the purpose of identifying who scanned in the document
