Cloud "PDF/MS Office Not Scanned:" in email subject

asked on February 14 Show version history

Hi all,

Does anyone know why this would appear in an email sent to users by Email Service Task? Also, how to turn it off?

Thank you!

What are you setting the email subject to in your email task in the process? Is it using variables from the form?

Does the email have PDF or Office documents as attachments? Have you checked with your IT department whether it may be coming from tools they have to scan incoming email messages for malware?

Hi Miruna,

Here's the Email Service Task:

What are you setting the email subject to in your email task in the process?
Subject in the Email Service Task is:
{Dataset/variable} Annual Form Saved
Is it using variables from the form?
Yes one variable

This is the variable value when I look in the Monitor tab (just 2155):

Here's what they get in the emails:

The received email has the current process data form attached.

We do scan for malware but don't have any policies that would tag an email in that way. I reached out to my system admin to confirm.

It's really weird.

Ask them to check their mail filters and scanners again. The "[ External ]" part is kind of a giveaway that the message has been modified by the receiving mail server before being delivered to your inbox. Some mail servers modify the subject others add a footer to indicate messages coming from outside the organization, but either way it's not Laserfiche since it requires knowledge of the organization boundaries.

"{Dataset/variable} Annual Form Saved" resolved to "2155 Annual Form Save", the rest is not from the process.
