File upload field is filling up server hard drive and iPad storage

Hi Laserfiche Community,

We created a form a month ago and it's causing our Laserfiche server's hard drive and iPad storage to get filled up quickly. I've managed to shrink the logs file and got 40GB of space back however this doesn't fix the root issue.

After investigating, I found out that the users are taking photos and uploading around 3 - 5 photos per form submission wherein each photo is about 30MB in size.

I guess my questions now are:

1. When I check the Administration Section of our Laserfiche Form, I can see the form is using 56.77 GB (photo attached - volumemngmnt_form.png). Is there a chance to reduce this? If so, how? And will this reduce the database file (mdf file) as well?

2. If I re-install the Laserfiche app on the iPad (currently it's eating 40GB of space), will I gain back 40gb of storage in the iPad? And is it correct that we won't lose any photos because they are stored somewhere in the Laserfiche server?

3. Is there a way to default the photos taken through the forms to default to compressed size?

4. Can you please point me how can I access photos/files uploaded in the Laserfiche Server? 

What I've done so far is just limit the Maximum file upload size to 20MB on that form so that stops the server and the iPads losing storage too quickly.

I think this post ended up being a mix of different issues but hopefully you guys can help me out. :)

Hi Rem,

To reduce Forms uploaded files size, you may utilize the data maintenance feature; and after that you may need to shrink database on sql server side.

As for whether files were uploaded to Laserfiche Server, it depends on how your Forms process was designed. If you have save to repository service task then it would upload the attachments to defined path. Otherwise the files were only kept in Forms database.

Thanks for the response!

I've got the "Remove unreferenced files after set number of days" ticked as seen on the snip and the number and size of unreferenced files too. It seems like it's not working in this situation because most of the forms they've submitted are more than 7 days ago already.

The form process doesn't have the repository service task, we only have a Start and End process. Does that mean we have to extract the image from the database then?

Hi Rem,

1. Unreferenced files are files that are uploaded but not submitted with a form. With this option those files should be cleared 7 days after uploaded.

The clean up should start on the Clearing Time defined on this page so it is not processed immediately.

2. Yes you need to extract the image manually; you can download them from instance detail page.

And if your files are not archived yet, please do not use the "Remove files uploaded from completed processes after set number of days" option on data maintenance as it would clear the files that you may still need.

Hi Rui,

1. Is there a way we can check these unreferenced files somewhere? The last form submitted was on the 12th of November 2024 aside from the 23 forms that encountered error yesterday that I had to reprocess.

 

2. Also, for the iPad storage, do you have any idea how to free up the space there?
