Question

Any way to create a web client link by using the path rather than the entry ID

asked on November 8, 2024

Since Forms does not provide an entry ID when using the save to repository task, isn't there a way to use just the path when we want to link someone to something saved in the repository as part of the process?

I looked through the documentation and it seems everything goes by Entry ID. That means we need a WF just to lookup the entry ID based on a Path.

Am I missing something here or can you use the path in the URL rather than entry ID.

In the newer versions of Forms, it does provide you with the ID. It is located under the Previous saved form section. The entry id is the ID value.

Oh that will be nice! It is not available in this environment though and it might be awhile until they get the latest update done.

I would be interested in making the Entry ID and the Folder Path from a Save to Repository task available as variables. They are being captured in the newer versions of Forms because they show in Forms Monitor. I was actually surprised they weren't available to use in emails, etc.

When necessary, I save the Forms instance ID and submission ID in metadata fields. This will link the entry to the Forms instance and can be used to retrieve business process variables. You could consider doing that, if that is enough information.
