Save to Repository Task - Variable Change

asked on October 31, 2024

I have a Laserfiche Forms process where HR sets the path and filename that they want to use for the Save to Repository Service task.  I've had a couple of occasions where they've entered an invalid path by accident.  This causes the process to suspend when attempting to save the document.  If I use the Edit variable functionality to correct the path, it doesn't fix the save to repository task.  It's like the task won't use the updated variables.

I also noticed that updating the variables gives it a new submission_id.  I went so far as to edit the cf_bp_data and it still didn't work.

In the audit reporting it's attempting to create a folder at the root of the repository without the correct info.

A sample of a successful submission should look like this:

I end up having to stop the  process and manually upload any documents to the repository.  Any thoughts on how this can be corrected?  Is it a bug with Laserfiche Forms or something that can be corrected by modifying the process?

What version of Forms are you running? I believe this is the same issue I posted about back in 2021 and was fixed in Forms 11 Update 3. Forms 11: Editing Variable Does Not Pass New Variable to Workflow - Laserfiche Answers

It could also be a separate issue because my issue was regarding Workflow.

I'm running Forms 11 Update 5 (11.0.2311.50553).  I've edited other variable successfully.  This seems specific to the Save to Repository task (or my process).

Hi Rob, if your Save to Repository task is configured to "Save the submitted form from this process step", it would only read the submission from the given step. Then updating variable value would not help in this case because it only affects current process data.

A workaround would be modifying the path definition on Save to Repository task to allow saving this form temporarily.

As for the answers post "Editing Variable Does Not Pass New Variable to Workflow", we changed the behavior of Workflow service task so it would always use the latest value to make it work similiar as the option "Save a form with current process data" in STR.

Thanks for the response Rui.  I'm not sure what you mean by:

I've changed it to "Save a form with current process data".  I'll see if that works going forward.
