Steps to create a Laserfiche Workflow that retrieves a selected file

Hi Everyone,

 

What are the steps to create a Laserfiche Workflow that retrieves a selected file from the Laserfiche Repository and presents it as a hyperlink in Laserfiche Forms?

General sequence:

  1. Get the Entry object with Find Entry / Search / etc. activities
  2. Pass the entry into the Generate Web Client URLs activity
  3. Pass the URL output into the Set Business Process Variables activity
  4. Use the entry URL in Forms as desired

Hi Samuel,

This is the scenario of the process I want to create.

1. Users import various files to Laserfiche.

2. Users select some of these files to be processed for review and approval by the assigned approvers or reviewers.

3. A Form will automatically run via workflow, and the data from the template will transfer to the Forms field, with the hyperlinks to the files that will be reviewed as one link to those several files selected.

4. If users import and process one file, the same output of scenario #3 will be executed.

 

Example Scenario:


User File Import: Jane uploads three PDF reports to Laserfiche.

Selection for Review: Jane selects two reports using checkboxes and clicks “Submit for Review.”

Automated Form Process:

The workflow is triggered, and the selected file names, upload dates, and hyperlinks to the files are populated in a review form.


Jane receives a notification: “Your files have been submitted for review.”


Single File Processing: If Jane had only selected one report, the same process occurred, creating a link for that report in the review form.

 

Please help me with this.

Hi Rafael,

The general process I gave in my previous response is still accurate. I cannot build out this process for you. If you are uncertain about how to build it, I recommend starting by building a simple "proof-of-concept" process that handles one file import, generating a hyperlink for that file with Workflow, and sending the info to Forms.

Once you have that working, make a copy and start adding more complex parts of the process.

If you are having trouble with getting a specific part of the process working, explain exactly where you are stuck and what you've already tried, and maybe people here can help with that.

Hi Sam,

I'm having trouble sending the link of multiple files selected to the one form process only.

I already tried to test one file and send the link to forms, but when I tried multiple files, I received a multiple task. I'm thinking that the process will be like this: multiple files selected, and a workflow business process will run and send the link to the form, but only one link must be shown in the Laserfiche Forms Field containing the multiple selected files.
