Forms- How to input an attachment into Workflow

asked on October 3, 2024

Hello,

I am working on a Form, where an employee will fill in the fields for the user of the company credit card, and upload the receipt as an attachment. I'm trying to design a workflow that will then pickup that attachment, use the fields to apply template field data and then save the attachment as an entry in the repository.

I see that the attachment gets saved to the Forms Database, but I can't find how to export it, or how to find it in the database, within Workflow, so it can be processed from there.

Thanks in advance for any help you can provide.

If your forms process, if you use the Save to Repository task, you can save the form & attachment to the repository.  In that save to repository task you can also assign your metadata so you wouldn't need a workflow to process things from there, unless you had some other automation you needed to perform.

Great, thanks. I would need to do some additional automation, unless there is a way to save both the form and the attachment as one entry together? Otherwise it will get messy having multiple entries for each receipt, one with the form and one with the attachment

You can use workflow to combine attachments to the form using the "Move Pages" workflow activity.  For this to work natively the form and attachments must have Laserfiche pages (TIFF).  Whatever repository profile is being used by Forms to save the attachment would need that profile's Options|New Documents|Settings|When importing PDFs set to Generate Laserfiche Pages.  Once the form and attachment are in the repository and have Laserfiche Pages, the workflow can move pages from one to the other (then delete what is no longer needed).

I believe you can purchase a workflow activity that can combine PDFs (for example our VAR sells such an activity), but I don't think that is supported out-of-the-box.
