Question

send email to submitter when task is assigned

asked on September 18, 2024

So, I want to assign a task to a group, but when a that task is assigned to an individual from that group, I would like to send an email to the original submitter of the form.

Is it even possible?

If you add a read-only field to your initial form with the default value {/_currentuser}, you can then select that variable as a user for an email service task. (Or you can just BCC them in the assignment email, whichever you prefer.) You can also set the field as hidden so it doesn't clutter up your form.

Let me know if that doesn't make sense and I'll try to reword it! :)

I don't really want the submitter to get the email that a task has been assigned.  I want to send an email when the task is assigned to an individual stating something like, "Your form has been received and assigned to {user that the task has been assigned to}.  They may be contacting you for more information, or you will get an email with the results of the submission."

You can add an Email task from the toolbox and there is a variable called Initiator that will send an email to the person who submitted the form.

But before you do that, go to your Message Start event configuration and check out the On Event Completion tab. This allows you to notify them of receipt by the server right in their browser after they click submit, you can include a copy of their submission right in their browser along with any other instructions or information.

If you still want to email them as well I recommend putting it on a parallel track, just in case there is any problems sending the email where you would not want to hold up task assignement.

If I understand correctly, you want an email to go back to the submitter when a member of the team actually assigns the task to themselves, alerting that it is no longer sitting in the queue and notifying contact information for who is working the form.  I don't believe there is a way currently to setup what you are asking.  This came up previously: Laserfiche Forms email notification - Laserfiche Answers

So, what I'm coming up with is an acceptance task by the "group" and whomever "accepts" it fills in an "assignment" field that will assign to an individual in the group.  Once that person accepts the submission, an email will go out in the next step to email the submitter that it has been assigned to _____...

Maybe a feature request?
