Question

Does anyone use a email tracker with workflow email tasks

asked on September 12, 2024

I have been asked if it is possible to integrate email tracking with the Workflow Email task to see if Employees/Guardians open emails sent to them as part of a workflow task.  Has anyone tried any tracking tools within Laserfiche?  If so I would be interested in chatting about it.

The Email task has an option for delivery receipts, which is probably the best you can ope for. As mentioned in a similar post, responding with a read receipt is up to the recipient. We have several users who request a read receipt on every email they send - most of us decline.

I am aware of that feature.  The issue is we have need for some of our federal reporting to show that an email was sent to a guardian.  Some services such as mailsuite add on for Gmail that will show if a recipient has opened an email or even if they clicked on an enclosed link within the email.  It is that type of functionality that the associated department is looking for.  But thank you for the reply.

The SMTP server you're sending the emails through should have a record the email was sent. How you correlate those logs with Workflow activity for mandated reporting purposes may be more complicated, but simply showing an email was sent to an address shouldn't be too hard.

If you still need to attempt read receipts or tracking links, the other options I can think of are:

  1. Having Workflow send emails through an email server with rules for:
    1. Adding delivery receipt requests
    2. Transforming links into unique tracking links
  2. Using a service to pre-generate tracking links and put those into the Workflow emails in the first place.
