Publishing process flow adds variables to forms - cannot remove and sync vars from collection

asked on July 5, 2024 Show version history

Hello Team,

I am having an issue where after publishing a process flow (we have an dev/qa/prod set up so we have to develop on dev, then promote to qa for cust testing then publish to prod), I have additional variables being added into my collection on the form.  For example I have a category variable in a collection, and this same variable is used in a form later in the process. After publishing, i find i am losing the category value between forms.  On inspection, both forms have a category var and a category_1 var, and both forms do not use the same variable any longer (thus i lose the value between forms.)   I figure simple enough, remove the _1 version of the variable and set them both to the original variable, however, when I try to delete the _1 variable, it removes the entire field/variable, and i am unable to drag and drop the same field variable (from the collection) so both forms are using the same field. I also cannot go into the field and rename the variable as it is in the collection.  This is very frustrating as i have done this with fields/vars that are not part of a collection but at a loss. It is bad enough that I have variables added in the promotion process (i have about 7 in this process flow i need to remove now) but to not be able to edit them after...  These forms were developed by a contractor and have unused and duplicate fields as well. we are trying to clean up the unnecessary fields as well, but again the collection aspect seems to interfere.   Any insight is appreciated.  i have reviewed several other posts and the options shown do not seem to be present. We are on LF 11 currently, however there are classic forms and have not been migrated to the new version of forms (due to extensive javascript that needs to be reworked.)

thank you in advance

It sounds like you added the variable separately to each of the forms, which is why it appended the number to the "duplicate" variable. If it is renaming the variable automatically, then that means there is an existing variable already using that name.

When you add a variable to a collection/table that already exists in multiple forms, you need to add it to one, but then on subsequent forms you need to add it from the existing variables.

You can do this with the "add column/field from variable" option. The options will probably look a bit different depending on which designer you're using, but the same concept applies to both.

I am not seeing this option.

I click the gear:

If i try to rename the variable, it says it already exists. if i delete it from the collection, it deletes the form element as well, then i cannot add the correct variable from collection.

The gear icon is only for variable settings (i.e., renaming or removing variables). The option I'm referring to is farther down in the section where you add new columns for Tables or directly under the variable name for Collections.
