Software Development and Engineering Proposed Activities Plan
The deliverables and tasks for the proposed record keeping and workflow initiatives will be designed to streamline processes, enhance transparency, and optimize resource utilization within the Department.
Deliverable: A comprehensive data sharing agreement repository system facilitating efficient management and tracking of agreements, ensuring compliance and transparency.
Tasks:
· Develop a dynamic report dashboard to track data sharing agreements and alert stakeholders of review/renewal dates.
· Design and implement a front-end form for entering new data sharing agreements, integrated with a workflow process for review and approval.
· Connect the system to a secure SQL database via SQL Server for data storage and management.
Deliverable: A centralized and automated travel authorization process, replacing manual Excel-based methods, improving efficiency and accuracy.
Tasks:
· Utilize Laserfiche to create a streamlined workflow for travel authorization requests, incorporating review and approval stages.
· Collaborate with finance and quality improvement staff to review the current process and identify opportunities for improvement.
· Develop dynamic reporting and dashboards informed by Laserfiche workflow instances to provide insights into request status and financial data.
Deliverable: Automated reimbursement process in Laserfiche, reducing processing charges and improving transparency and efficiency.
Tasks:
· Leverage the reimagined Travel Authorization workflow data to automate the reimbursement process.
· Replace the existing third-party system with a centralized reimbursement process in Laserfiche.
· Develop dynamic reporting and dashboards to track reimbursement status and financial reports based on cost center coding.
Deliverable: Identification and development of digital workflow automation opportunities within the Department, enhancing operational efficiency and effectiveness.
Tasks:
· Work closely with the Business Systems and Analysis position to identify and outline digital workflow automation opportunities.
· Utilize data-driven insights from project and technology environment inventories to inform decision-making and prioritize automation efforts.
These deliverables and tasks collectively contribute to the modernization and optimization of processes within the Department, fostering greater efficiency, data and financial transparency, and strategic planning capabilities.
