Workflow crash reports clarification

asked on June 13

Hello everyone.

I'm having trouble getting these workflow crash reports working.

I have gone into the Workflow admin console and set up the Terminated Workflow Notification Timer. This is what I have set up currently.

I have yet to see an email. When I run a search for terminated workflows in the designer, I have some.
What am I missing?
Follow-up question, I can't find a setting for the time frame of which workflow will be reported. I couldn't find anything in the help documents about that either. What is the time frame of which workflows are reported? I would love to be able to configure something like only the last day or week of terminated workflow.

Can you confirm that your Workflow Server has a default mail server configured?

Look at the workflow definitions for the terminated workflows and confirm they don't have their own termination settings. (Your screenshots show that the settings in them only apply if the individual workflows don't have their own settings). You can see the workflow definition-level termination settings in the properties pane in the Workflow Designer (just click anywhere in the white space to select the workflow itself).

It reports everything that terminated in between runs.

Ok, email is set up just fine in workflow. I get plenty of other emails from workflow. For example, all my own email activities in the workflow run with no issues.

I opened a workflow that terminated yesterday and checked its settings. This is how it's set up.

I believe I should have been notified. What else can I check?

@████████I think I narrowed down the problem. My other workflow administrator is getting emails. No issue. He is the second email I have set up in the Administrative email addresses field. I have it set up like this.

llarge@spi-ind.com; dwitts@spi-ind.com

Could the semi-colin be this issue? What is the correct syntax for multiple emails in that field?

Hm, i can't reproduce the issue. The semi-colon is a normal delimiter for email addresses, so that shouldn't be a problem.

Can you take a look at the logs under Monitoring in the Workflow Admin Console and see if you have any errors mentioning email or SMTP around the time the message should've gone out?

Thanks @████████

I have been getting the reports now. I have no idea what changed so that I can get the reports. I can tell you I tried switching the delimiter to a comma and that works too. That's how I have it set up currently and I'm getting the reports.

On to the next fire! lol.

Hm. I don't like unsolved mysteries. frown

Both semi-colons and commas should work wherever you specify lists of email addresses in Workflow. At first, I thought it might be extra space after the semi-colon, but that's handled as well.

If there aren't any errors in the WF logs, then it's likely the mail server accepted the message, so any further troubleshooting would have to happen on the mail server. These days, there's extra filters and protections on the mail servers to take out junk/spam/phishing/etc., so maybe it got caught on something there.

As Miruna said, you most likely don't have an email server configured (or it is not configured correctly). In the Workflow Administration Console, go to "External Objects / Email / Manage email servers" and ensure that is correct.

That is the "repeats" portion of your first screenshot. If you have the schedule set to every 2 hours from 7 AM to 6 PM M-F, then the server timer will check for failed workflows in those increments, then send one summary email if it detects any. If you want it to only send on Fridays, change it to Fridays.
