Question

removing fields from an existing template

asked on June 12, 2024

Hello Team,

I have a form that is overly complex and was created as a 'one size fits all' process. We are finding that it makes sense to break this form into a single form that has all the common elements, and break the sub functions into their own tab so only the individuals that deal with that aspect see and manipulate the data.  Anyway - this also uses a single template with 5 multifield groupings as well.  My plan is to to move the multifield groupings into a new template that is associated with the new form, but i am concerned that removing this fields (which also exist in a database) will have some sort of unseen impact and I will be doing a see saw of issues.  Any thoughts?

Can you explain what you mean by this statement?

this also uses a single template with 5 multifield groupings

You can move any fields anywhere on the form without affecting the database. If you delete the variable associated with these fields, you will lose the variable/field information from the database.

My recommendation would be to duplicate the process (or just the form if you're confident), and modify the form as you see fit and then test it. Then you can figure out if you actually need to delete anything or just move stuff around.

I am sorry I missed your response.  I have a template that has 45+ fields in the template.  this includes 5 separate multi field groups as shown in the screenshot from the templates area.

One of the problems we are having is when this form is used, records in the template with no data added are having null records created in the database.  A colleague has suggested that this is caused by the fields being in the template, and when the template is instantiated, so are these null records.

I want to pull the fields out of the template and leave them as additional fields, however, what i have read in the LF manuals suggests this will delete the data associated with the fields.  I am hoping i can just remove a field from a template, but not the form and not have this data loss. I hope this makes sense.

Ah, I think you are referring to the fact that field groupings will always have an empty row when they are added as part of a template. You cannot have a field group outside of a template so you would be forced to use the fields individually under those circumstances. Removing the fields from the templates will not remove the fields from the entries, but I would test this with a new template before proceeding. For entries already setup with the template and the "null records" removing the fields from the template will keep the empty fields on the entry.
