Forms - How to find tasks assigned to invalid user accounts

asked on June 4, 2024

After domain migrations, new accounts are created in Forms (even if not in the repository that Forms is synced with). The old accounts show a status of invalid with the old domain in the FQDN.

Like this

But when I go to the monitor tab and choose the tasks subtab, then search for tasks assigned to the invalid account it does not show the invalid account in the list or allow me to enter the FQDN directly.

So how do I find the tasks assigned to the invalid account?

I can understand why I would be restricted from choosing an invalid account for assigning a new task, but if something is already assigned to an invalid account I should still be able to find it when searching for that account name.

Similar to how you can still search for a document created by a user that no longer exists.

The Workload report will still show tasks assigned to the invalid account, but you have to go through each process one by one. Because of this I made this feature request: Feature Request: Option to Filter Users in Workload Report by Invalid Users - Laserfiche Answers

How do I get to this report? I was going to Monitor, Tasks; where I can search by Assigned To but the system simply will not let me enter the username DOMAIN\User of the invalid account.

Go to Reports\Insights\Workload.

Oh I need to search across all processes. It seems this is just a report for determining current workloads of individual processes.

Yeah, that's one of the downfalls of that report.

I think it is just a fix in the Monitor page where it needs to let you enter the username your searching for. The list you pick from is excluding users that do have tasks assigned which we should be able to find.

Yes, all of the above cases are things we want to fix in the task inbox/monitor pages. Being able to operate on more than one process at a time is key for business managers and admins

Ziyan, I don't believe the "Assigned To" filter option in Forms Monitor is available for Self-Hosted systems.

I stand corrected. It is under Tasks in Monitor.
