More Than 1 Forms Instance Being Created When Invoked by Workflow

asked on May 24, 2024

We have a Forms process where instances are created by Workflow invoking it. Occasionally we see that two Forms instances are being created, usually within a second of each other for the same information. Sometimes this is caused because someone ended up satisfying the workflows starting rules multiple times (updating metadata and then moving the document to a different folder), but other times we are only seeing one set of workflow instances for the entry in question, and it only goes down a single route to invoke the Forms instance.

Is there any way to see if multiple calls were made from Workflow to Forms when this happens? We're just trying to determine what is causing the multiple instances in Forms to be created.

Workflow version 11.0.2306.898
Forms version 11.0.2311.50557

Hi Blake,

One way I can think of is to check file logs for instances started by workflow.

You can turn on file log from Forms Configuration Diagnostic tab, trigger some instances.  Go to log folder (typically under C:\ProgramData\Laserfiche\Forms\Logs) open  FormsLog_RoutingEngineServiceHost.log.

Then search for "Process is started by workflow",  typically there will be a record for each instance started by workflow system user
