Do you need to be an administrator and is there a way to lock it down so they can only see certain processes?

Are you referring to the Process Automation access? if so, then a full user license would be required.

Yes, but only if the process starts with a Message Start Event.
You can then go into Process Details and narrow it down by users, teams, or groups.

I'm hoping someone else can add/correct what I'm saying, but I believe a full license is needed for the operational dashboard; you can then narrow down access to business processes with Projects.
If you have all your business processes in Global, then you won't be able to narrow down the Operational Dashboard.
There isn't a ton of great documentation on this so, I'm really hoping someone from Laserfiche can add to this.
