Question

Saved Search Access Rights

asked on May 15, 2024

Some of our users have created a list of really amazing Search Filters.  These Search Filters are then saved by the user and shared amongst their team through a Laserfiche Group.

Example:

The problem we are having is that everyone who is a member of that group is able to overwrite the search.  They don’t understand they are editing the search for everyone – not just themselves.

The proper way to do it would be to modify the Saved Search and then apply to themselves only

Example:

We are attempting to communicate this to the users, but we still find ourselves having to go in and recreate the shared Saved Search from documentation as someone with the rights has overwritten the search with their own variation.

How can we “lock down” these saved searches so that groups of users are unable to modify?  Is there a location for access rights for Saved Searches?

I’ve checked the group’s Features Rights / Privileges, but did not see anything there that stands out.  The group in question does have the “Search” feature right assigned.

We are using Laserfiche Forms version 11.0.2212.30907

We are using Laserfiche Repository version 11.0.2102.205

I'm glad to hear that your users are making good use of the feature! Right now, there isn't a way to apply per-item security. I believe the way it works now is anyone can write to their own, and administrative users (specifically, users with "Manage Repository Configuration") can write to a group. I would guess that your IT users all inherit that right from the IT group, which makes this a tricky problem to solve.

I'll bring the scenario to the team. I'd like to avoid adding a full-blown security dialog to this feature, maybe we can come up with a simpler more elegant solution.

Thank you Brian!  For now, we'll continue to spread the word of how to do this the right way and keep our documentation handy for when the save is overwritten so that we can recreate.
