Permissions Deep Dive

I am trying to wrap my brain around this.  I have a group that has access to just about everything in Rights.  The Group is called Forms Access.  I have members that are part of that group.  I am assuming that being part of this group gives you access to fill out a Form.  

I am also trying to control who can see what in the Repository.  I want to prevent users from being able to see a lot of the Field Templates and Fields that are not relevant to them.  I noticed that if I remove the Manage Templates and Fields privilege for the Forms Access Group, then the Form cannot work.  It says some fields are Read Only and the form will not function.  

I tried creating a Group that I am trying to get to show up in the Forms but it will not show up.  In the top photo I created a Group called FormsEntry, but when I go back to Forms and Synchronize Users the group doesn't show up.  I thought, maybe there is a time period where I have to wait, but even some I created a long time ago, they don't show up either.

Can someone tell me what I am doing wrong?  

I just want to prevent my users from seeing all of the fields and metadata but still allow my forms to function correctly.

You can manage what fields of metadata are seen from the Admin Console.  Login to the repository in Admin Console and go to Metadata Management.  Select Fields or you can do it from Template.  Each field will have a Security button and you can add groups that you want to see the field or not see the field.

None of the Rights & Privileges have anything to do with forms.  They are repository specific.

Metadata is also in the repository.

You control access to forms in the forms configuration page by adding your groups under Access Control on the User Authentication page.  The Forms Configuration page is usually accessible via https://yourformsservername/FormsConfig

When you are saving the form into the repository in your Forms diagram, are you assigning metadata to the form?  Does the user specified in the activity in forms have rights to read and write into these metadata fields?  

In your forms configuration, do you have "everyone" set up to access forms?  If you do this, you can then add groups into your forms user security to specify their specific access permission into forms and then specific access as submitters to each form you want them to begin.
