Question

My Workflow "find entries" is not finding the documents

asked on May 3, 2024 Show version history

My Find Entries activity is NOT finding documents, only folders, and I cannot figure out why.  I did find one other post here that had a similar problem and the fix was rebuilding the activity, but I have now tried this and it did not work.  What might be stopping my wf from finding the documents as well as the folders?

Additional info:  This workflow has no other requirements entered in the Additional Properties, Fields, Sort areas... those were all left blank.

I think it only finds documents and folders in the folder selected, not within any subfolders. Maybe the documents are in subfolders.

Okay... that could be the problem then!

So, I did attempt to change over to a Search activity to do this, but couldn't figure out how to get a repository search to search for all folders/docs within a specific folder if I'm identifying the folder via an ID number instead of a path.

I need workflow to find a specific folder for each of the starting entries and that folder is not ... consistent, so I came up with a way to have a metadata field that identifies the right folder's ID number.  So I need to get this done using the ID number and not a path.

Maybe my workflow is going to have to Retrieve the field value for the ID number, then find that entry to find the path, then do the search.  ?

You can use Find Entry to retreive the path of a folder by ID, then use the path to search for all entries in that path including subfolders.

I got it working!  I found a way to get a Search Repository activity to find the targeted folder.  The workflow retrieves the Entry ID off of the field that I have this saved into, then a Find Entry locates that ID number so I can get it to record the address, then the Search Repository is able to grab the token for the full path off of that!  And now the workflow is doing everything I want it to do correctly!
