Lookup Rules not loading information if rule already applied to field with no data

Hello,

I have a form that is meant to be filled in by an external person, who will enter their unique identifier to fill in their details such as name and which office they're visiting. The form is then assigned to the team for that office based on the 'site' variable that should autofill from their unique ID. This works perfectly fine if their details are already in the database that gets refreshed nightly.

The issue is that if their details are not in the database at the time of their first visit then it will require manual input to enter the site they're visiting. These sites follow a specific naming convention that comes from an external database that we cannot control. Usually when this happens the user will type in something close to the site, but rarely will it be the exact convention or even the correct site (we have around 30-35 sites). This will then require manual intervention to assign the task to the correct site's team.

I've tried splitting out the lookup rules so that the site variable can be used to search for the site by typing in a few letters then selecting it from the results, although this doesn't seem to work as the rule to fill from ID makes it so that the field no longer fills with any information from the lookup if the ID returns no results.

Is there any way around this? I'd like to avoid a static drop-down list as much as possible

Hello Andrew Maude.

If I understand correctly, you have an internal database that is a mirror of another external database and every night you update the internal database so that the form can retrieve the user and site data; is that correct?

I have several questions. First, by external, do you mean in another geographical location, or is it always on your premises? If it's still on your premises, why make a duplicate of the data and not simply point the Laserfiche Web form to this database? Finally, how does it synchronize every night?

Could we have a preview of the form, indicating which fields are supposed to populate depending on the database?

Heya,

Due to my company's privacy policy I cannot disclose too much information surrounding this as it's customer data. I'll try to summarise a bit better:

1. It is the same ExternalTables database and table that is powering everything in that form for the lookups. The 'internal' database is not being used here. This external (customer) information is from government sources

2. Our company has multiple offices in multiple towns and cities, and this form is used as a sort of 'get to know you' process for a new customer coming to use our services. This form includes a privacy notification agreement that they must sign during this process in order for us to assist them

3. The unique ID for the customer is supposed to be added to our database by next day of business from their referral, however in some cases they can be referred to us by an external entity and have an appointment with us the same day, so their information will not be in the system until usually the day after

The general idea of the form is that they use their unique ID number to enter into the form to autofill as much information from the government source as possible so that the customer doesn't enter the wrong information. The form is always filled out at one of our sites.

Here's a sample recreation of what it looks like for the customer:

Once they enter their ID, it would fill their name and site. The issue I'm having is that the site will not populate if there is no result returned by the ID. The site field will not display any of the results from the table at all, despite having its own 'Fill' rule that is using the exact same column of data from the table that has their other information.

Sorry for the confusion on this one. I'm not too familiar with the terminology to use for this sort of stuff. Our databases are managed by an external party too so any altering or changes would require us to pay for a fix, if there is one. I'm hoping that there's something I can do on a Forms level to get this working

Also I should mention that the 'name' column in the database refers to the site name. It was named incorrectly during development haha
