adding a folder

I'm a relatively new user to Laserfiche, but I'm one of two system administrators of it. So I'm ignorant, but responsible. One request I've received is to add a folder and I think it should be fairly simple, but I'm working in SQL and am not sure how to do it. I've explored a bit of the Laserfiche support, but "add a folder" doesn't come up with anything.

I would not recommend doing anything in SQL to attempt to create or modify any documents or folders.  You should be able to just create a new folder within the Laserfiche Client (either Web Client or Windows Client) unless you have permissions set up to prevent creation of new items in a particular location or by particular users.

You should just be able to right-click > New > Folder.  If it is greyed out, then there is likely a security restriction either on that location or your user.

Hi John, 

The Laserfiche User Guide has information on working with documents in the repository, for example https://doc.laserfiche.com/laserfiche.documentation/11/userguide/en-us/Default.htm#../Subsystems/client_wa/Content/AddingContent/Creating_a_Folder.htm covers how to create new folders manually through the web client, among many other topics. There's also the Laserfiche Administration Guide (at Welcome to the Laserfiche Online Product Help Files) which goes into more privileged and administrative options as well. 

I would absolutely echo Matthew and not go into SQL for operations such as this especially for modification operations, doing things behind the systems back is not a good practice and can get your data out of sync.

Just to make sure we're on the same page, clicking this button will bring up a dialog to create a new folder.

The dialog only prompts for a name, not a location, so if you want the folder to be somewhere else you have to first navigate to that location.

This is what I see when I go into Records. So it seems obvious to me that creating a new folder will fall under Employee-Records. Just to be clear on my part, I simply want to create a new folder NEXT to Employee Records. It should not go inside Employee Records and Employee Records shouldn't be a subset of it. When I go into this site the only options I get... 

...all pertain to the Employee Records folder. I would think Options or Management would be outside of this folder, but I haven't found out how to get there!

"Employee-Records" is the root folder of your repository, it's not possible to create anything outside of it. You can think of it like "C:\" - if you create a folder on the drive, it has to go under there somewhere. And similarly it's not impossible to have a "D:\" that would in a sense be another top level - but just as adding another drive to a machine isn't the solution to every problem, creating another repository comes with benefits and drawbacks.

I hope that makes sense. Maybe if you can say more about the problem you are trying to solve we can offer alternative solutions.

I did get support and put the new folder in zzWorkQueue under Employee Records, next to the Employee-Records file so I'm all set. Thanks, everyone, for your help.

I can create a new folder, but it always lands inside my Employee Folder. I'll check out Justin's guidance.

Are you saying you create the folder in one location, and it moves to another?

That could make sense if your organization wanted to ensure everything a user created was moved into a dedicated location.

If that is the case, then you likely have a Workflow running that does that.  It could be monitoring for the creation of documents or folders in certain locations (or repository-wide even), and then following several steps to determine who the creator was and move the item to that creator's personal folder.  If that is the case, then you might need to look at how the Workflow is set-up to determine how best to prevent it from running in this case (maybe just disabling the starting rule temporarily, or setting up some exceptions to the starting rule).

EDIT TO ADD: If you are uncertain about the possibility of a Workflow, you could find the Entry ID of the folder you just created (right-click > Properties) and then search in the Workflow Designer for workflows that recently ran on that particular Entry ID.  Like this:

Hi Matthew, 

No, the folder I create doesn't slip into the Employee Folder, I simply don't see any other place to put it. I've never seen the Workflow Designer screenshot you shared. I wonder how I get to that! Thanks for your help!

Okay, it sounds like I misunderstood what you were referring to.  I apologize.

So that you know, Laserfiche Workflow is an automation tool that can impact documents within the Laserfiche Server/Repository environment and communicate with other systems and databases.  The Workflow Designer is the program that you use to set up those automation processes (workflows).  The Laserfiche Client is a different tool which allows you to navigate through and work with the documents within the Laserfiche Server/Repository environment.  The screenshot you shared in your other comment (replying to Bryan) is from the Laserfiche Client (specifically the Web Client, which is browser-based as opposed to the Windows Client that is a stand-alone software tool).

I hope this information is of some help to you as a new user.  Unfortunately, I am not certain what steps to suggest following in the Web Client to complete the activity you need, simply because my team has only ever used the Windows Client and not the Web Client.
