Feature Request: Allow Public Users to Create Accounts with Forms Portal License

There are a lot of posts on Answers about needing to go back and forth with a public user after an initial form is submitted. Lots of people have created workarounds for this issue, but it is still a pretty big hassle to do.

I would like to propose that a new Forms Portal License be created to help address this issue. It could include different tiers, similar to subscription or WebLink licensing and would allow for X amount of public user accounts to be created (should have an unlimited option). It would go hand in hand with the current Forms Portal license. This would allow for those that don't need to have public users interact with a Forms process not have to pay for that functionality, but they could still have the Portal. The license would allow for the public user to participate in a Forms process by having a User Task assigned to them, but not have access to reports, admin, etc.

The Laserfiche Administrator should be able to create a new Forms process and create a form with any fields they want as well as the process diagram in case they need it to go through approvals before being granted or send the information to another system. In the Forms Administration, an area should be available where the Laserfiche Admin would select the Forms process used for Public User Account registration as well as the variables used to set the accounts, First Name, Last Name, email address, etc. Those fields must be marked as required on the form.

There should also be a public user maintenance option added to the system to auto delete accounts that have been inactive after X amount of days.

This is just a rough idea of how I would invision it working and can probably be improved upon, but hopefully gets the conversation going.

Would the existing "Community User" license type in combination with a self-registration function and some form of inactivity time-based license reclamation address this case?

I don't foresee us creating yet another Forms-only external user license type when Community Users already cover that. It seems like the external sign-up/self-registration functionality is the key part here.

Sam, yes. It's more about the concept of what is needed and not necessarily an entire new license type.

It's something we've recently started discussing internally. If there are any specific use cases and especially generalized sign-up/activity flows you'd like us to consider, please share them here and I'll make sure they make it into the user stories.
