Cloud: How does one remove explicit assigned "Everyone" trustee via a workflow?

asked on August 8, 2023 Show version history

A client of ours had a on-premise to cloud conversion. Many of their folders had explicit rights assigned to the "Everyone" super-group on many sub-folder levels .

Now after converting to Cloud, it is causing issues.  We tried removing at the root level, but hundreds of sub-folders have been assigned the "Everyone" group explicitly.

Building a workflow does have the Assign Rights activity, but one cannot select the "Everyone" group to remove, since it really isn't a Trustee. Is there a way to remove this Everyone account from accessing the folders without having to reset security completely on a folder then add other groups back in?

Has anyone come across this before?

It's not in the trustee list, but you can just type "\Everyone" in the trustee name input for the Assign Rights activity and it will grab the Everyone group.

It does seem like we might improve the user experience here.

It would be really handy if this tool in PA could have the option to remove all non-inherited rights from an entry.  Would be able to clear rights, then re add as needed via PA.  Now as it stands, you have to know what trustee is assigned, in order to remove rights and PA can't read that information, from what I can see.

Looking for \Everyone in the cloud interface does not seem to be working. We have a similar issue - I'd like to just remove access rights from \Everyone completely. A hidden group is guaranteed to trip you up.

NM I found the Everyone user here:

and we had previously removed all rights including Browse. On initial set up however, it still gave the PublicPortalUser at least full Browse rights to the entire repo, even though I has not granted the PublicPortalUser any access.
