Access Rights for Business Managers, Searches

I came across a situation today where a Business Manager could not search for all her forms with a specific word in the instance name, and yet I could.  I could not find a reason why, other than I have Administrator rights which in this case I don't think it should be limited to just administrators.

Below is a clipshot of my search and when we duplicated this in her window, she got nothing.  Why would she not be able to search for a name (or something in the name field) even when it is part of the instance name?

Hi Connie,

Have you confirmed that she can return those same instances with a different search? E.g. "Property Inspection - ID# 40934"?

Or view them in general? E.g., you send her the direct link to one of those "(Main") instances and she can open it?

I would start there to at least rule out unexpected security filtering.

Also, what's the specific Forms version you're on?

Yes, she can find them and open them using the Report feature that I set up for them.  She can see them there and open each one and view the specifics and reassign back to herself.

I had someone report a similar issue once, and they honestly had just not selected the right process from the drop-down at the top.

I tried to replicate the issue in my environment, giving a test user Business Manager access to a single process, and trying to compare the search from that user to the search from my regular admin user, and I got the same results no matter what I tried.

I had her share her screen on Teams and then had her screen showing on one monitor with my screen showing on the other monitor as I walked her through the steps.  I couldn't see anything that she did differently ... both screens looked to be showing everything exactly the same.  And I double checked her access rights for the form.

What version are you on?

The lastest Version 11 updates.

So you're on Version 11.0.2212.30987 ?   (You can see this in Forms > Help > About)

Because I wasn't able to replicate the issue on that version.  sad

Do you have other Business Managers that could try to see if they have the same behavior?

Does it work searching other parts of the instance labels?  Maybe it doesn't like the parenthesis around the word Main or something.

Sorry, I'm kind of out of ideas of things to try...

I did get her to try just the property owners' names as well, in case it was the Main word in parenthesis that was the problem, but... no.  And, ya, I'm absolutely positive she could search these names before.  

I will have to get someone else to try these searches to see if I can find out if it's just her (rather her and her supervisor) that apparently can't do this.
