Partial Instance Deletion with Data Maintenance

asked on May 1, 2023

We are testing deploying the data maintenance in Forms. We are using a 3-year window in our DEV environment. When we initially turned this setting on, we did not check the box to remove File uploads. The following day we noticed a ton of greyed out instances. The system noted these as partially deleted instances. At that point we went and set the file upload removal for the same 3-year window. The next morning, we noticed that all the instances were removed. Since the complete removal coincided with us turning on the file upload removal, we assumed that not turning on the file upload removal was the cause of the partial deletions. All this activity happened let’s say a 3-4 weeks ago, so fast-forward to this morning, we checked in on the dev environment and noticed that there are still partially deleted instances dating back from 4/20 to 4/30.

Is there something that we are missing with the setup that is preventing a full deletion? Or is there more to the deletion that we obviously do not understand? Below I have provided some screenshots for insight into the current setup for data maintenance and also a small sample of what we see in DEV.

Forms file upload removal is not relevant to instance removal. Forms only do data maintenance during clearing time. What I think happens when you checked removed file upload is that some of the instances were in the process the deletion but passed the time limit, so the deletion stopped. That was what caused the partial deletion. And next day, all instances were deleted during clearing time, so you found no partially deleted instances.

And you mentioned there are partially deleted instances from 4/20 to 4/30. If instances are not deleted the next day, it should be a different issue.

Thank for the response. When I consulted with our VAR on the topic they alluded that the partial deletions is the expected behavior since the data maintenance only purges from the database. If this is not the case, is it possible that the 2 hour time slot, for whatever reason, is not sufficient?
