Preserving PDF annotations when importing through Forms

asked on April 27, 2023 Show version history

Hello all,

I have a public upload form from our external forms server for parents to provide sensitive documentation to our Financial Aid department.  We have discovered that if some uses annotations on their iPad to write notes onto a PDF, the information is not transferred when the import is saved to the repository and a page is generated.  The annotation is on the electronic document that is saved within Laserfiche, but that is deleted by a workflow after combining the upload form and imports into one entry.

All of my settings are attached that I believe affect this process.  I have read that though "Preserve PDF annotations on Laserfiche pages" is checked under importing PDFs, Forms does not use these settings.

Versions: LF 11.0.2103.223

Laserfiche Forms Essentials Version 11.0.2201.20436

Any suggestions?

Adding to this, the "Preserve PDF Annotations" option is misleading. This setting actually tries to convert PDF annotations to Laserfiche annotations.

As a result, in this context "preserve" essentially means "keep them editable" but in my experience many PDF annotations just do not translate very well.

If you just want the annotation to be present and don't need it to remain editable, then you'll have better results if those settings are disabled.

Additionally, due to inconsistencies in how different software generates PDF documents, and the annotations, even if you upgrade to enable these settings, it can still be hit-or-miss.

The more recent "PDF Page Generation" option for the Distributed Computing Cluster is vastly superior and much more reliable than the other available methods.

It does require some additional work to get DCC up and running, and there will be a slight delay involved, but we eliminated 99.9% of our PDF conversion issues by making the switch.

Basically, instead of generating pages when the document is stored using those settings, we trigger a workflow that schedules Page Generation via the DCC server.

I presume doing this preserves the annotation as part of the page image, correct?

@████████ That's correct, assuming there are no issues this will flatten the annotations as part of the page image.

Preserve PDF annotations has been supported with Forms 11 Update 3. Forms 11 Update 2 doesn't support sub options for generate Laserfiche pages.
